To stop losing WhatsApp inquiries while you work, switch on three free WhatsApp Business settings: an away message that says when you will reply, a greeting message that asks one useful question, and quick replies for the answers you type every day. Set them up once and every new inquiry gets a clear answer, even mid-appointment.
Picture this. You are halfway through a client. Glue on your fingers, a camera in your hands, a student in front of you. Your phone buzzes on the counter.
Two hours later you finally open the chat. "Hi, do you have space for a full set?" You reply. Two blue ticks. No answer.
She did not stop wanting the service. She asked three places, and someone else answered first.
You cannot stop working to answer every message. But you can stop the silence. That is what this setup does.
Why do inquiries go cold while I am working?
Because a new inquiry is a person in the middle of deciding, and silence tells them nothing. They do not know if you are busy, closed, fully booked or ignoring them. So they keep looking.
For an owner who answers their own messages, the riskiest moment is the gap between the message and the first reply. The fix is not to reply faster with your thumbs. It is to make sure the first answer goes out on its own, and that your real reply takes seconds when you get to it.
Why does this matter so much on WhatsApp?
Because WhatsApp is where small businesses sell now. A Standard Bank report on the township informal economy, reported by AllAfrica in October 2025, found that 74% of small and medium businesses use WhatsApp to reach customers, ahead of Instagram at 47%.
That means your inquiry is sitting next to your competitors' replies in the same app. Most owners still run their business on WhatsApp the way they run a family group: no away message, no saved answers, every reply typed from scratch.
Which WhatsApp Business settings should I switch on first?
Three. All are free and all are already in the WhatsApp Business app under Business tools.
| Setting | What it does | What it fixes |
|---|---|---|
| Away message | Sends an automatic reply when you are not available, on a schedule you choose | The silence while you work or after hours |
| Greeting message | Sends an automatic welcome when a new customer messages you | The empty "hi" chat that goes nowhere |
| Quick replies | Saves answers you send often, so you insert them with a few taps | Typing the same price and booking answer all day |
If you do only one, do the away message. It is the one that answers while your hands are busy.
What should my away message say?
It should do three things: say you saw the message, say when a real reply is coming, and ask one question so the chat keeps moving.
Here is the kind of away message most businesses use. It is an example, but you have seen it:
"Thank you for your message. We are currently unavailable and will get back to you as soon as possible."
It says nothing. "As soon as possible" could mean ten minutes or tomorrow. And it gives the customer nothing to do, so they keep shopping.
Here is a better one, written for a lash studio as an example:
"Hi, thanks for messaging. I'm with a client right now and I reply to every message between appointments, usually within 2 hours. So I can help you fast: which service are you after, and which date works for you?"
Now the customer knows when you will answer, and they are already telling you what they want. When you pick up your phone, the chat is halfway to a booking.
Set it to send outside business hours too, with an honest time: "I reply from 8am."
How do quick replies save me time?
Quick replies are saved messages you insert with a shortcut instead of typing. You type "/" in a chat, pick the shortcut, and the full message drops in. You can edit it before you send.
Start with the five answers you type most. For most service businesses they look like this:
- /price: your price, what it includes, and a question that moves toward a date.
- /book: the next two open slots, offered as a choice.
- /deposit: how much, how to pay, and when the slot is held until.
- /where: your address, parking and a map pin.
- /prep: what to bring or how to prepare before the appointment.
Write each one once, properly, on a quiet evening. You will never have to write it again between clients.
Your hands can be busy. Your WhatsApp should never be silent.
What should my greeting message say?
Keep it short and ask the one question you always need answered. The greeting goes to new customers, so its job is to turn "hi" into a real inquiry.
An example for a wedding photographer:
"Hi, welcome. Thanks for reaching out. What date is your wedding, and where is it? I'll check if I'm free and send you the options."
An example for a maths tutor:
"Hi, thanks for messaging. Which grade is your child in, and is it for exam prep or the whole term? I'll send you times that fit."
Do not paste your whole price list into the greeting. A wall of text before a conversation has started is easy to ignore.
Will automatic messages make me sound like a robot?
Only if they read like one. Write them the way you talk to clients: your words, short sentences, one question at the end. Then follow every automatic message with a real reply from you.
The away message is not the reply. It is the promise that a reply is coming. Keep the promise and customers wait. Break it and the setup does more harm than good, so set a reply time you can actually meet.
How do I know the setup is working?
Count, do not guess. Before you switch the settings on, note three numbers from your own inbox for one week. Then compare the week after.
- Reply time: how long a new inquiry waits for your first real reply.
- Quiet chats reopened: how many people who went silent came back.
- Close rate: paid bookings divided by new inquiries.
If more inquiries answer the away message's question, and more of them book, the setup is doing its job. If not, rewrite the question it asks.
Questions owners ask
Is WhatsApp Business free?
Yes. The WhatsApp Business app is free to download, and the away message, greeting message, quick replies and labels are built in. You do not need a paid tool or a developer to use them.
Should my away message include my prices?
Usually not. Use the away message to say when you will reply and ask one question, such as which service and which date. Send the price in your real reply, where you can match it to what they asked for.
How long should an away message be?
Two or three short sentences. Say you saw the message, say when you will reply, and ask one question. Anything longer gets skimmed on a phone screen.
Can I use quick replies on Instagram too?
The words work anywhere. Save the same answers in Instagram's saved replies or a note on your phone, so your price and booking answers stay the same in every chat.
