Follow-up

They Read Your Quote and Went Quiet. Here Is How to Follow Up Without Sounding Desperate.

When a client reads your quote and goes quiet, follow up the next day with one short, specific message that is easy to answer. Send no more than three follow-ups over about a week, each one different, then close the loop politely and stop. Silence after a quote usually means "not sure yet", not "no".

You know the chat. A bride asks for your wedding package. You send the quote, with care, between two shoots. Two blue ticks. Then nothing. Not that day, not that week.

So you do nothing too. Following up feels pushy. You do not want to be the photographer who begs. A month later you see her wedding photos online, taken by someone else.

Most owners lose more bookings here than anywhere else. Not at the first reply. After the quote.

Why do clients read my quote and then go quiet?

Because a quote asks them to make a decision, and most people put decisions off. They go quiet because they are unsure, busy or checking with someone, not because they said no.

Money makes that pause longer right now. IOL reported on 10 October 2026 that 72% of the 18,000 people who answered DebtBusters' 2026 Money-Stress Tracker were experiencing money stress, up from 70% last year. The same tracker found 53% were spending more than 40% of their take-home pay on debt repayments.

That person is in your DMs. They want the lashes, the shoot, the tutoring. They also need to check the budget, ask a partner, or wait for payday. Your quote landed in the middle of that. Silence is them thinking, and nobody is helping them decide.

And people do still spend on the things that matter to them. A University of Cape Town study, The Celebrations Economy 2026, estimates that over R500 billion is spent on celebrations in South Africa every year. If you photograph, cater, decorate or do hair and makeup for those days, the money is out there. The question is whether it goes to the business that followed up.

How long should I wait before following up on a quote?

Wait about one day. Long enough not to crowd them, short enough that they still remember you and your quote is still near the top of the chat.

After that, space the next messages out. A simple rhythm: the next day, a few days later, and about a week after the quote. Three touches, each one different.

What do I say so it does not sound desperate?

Make every follow-up about them, not about you. A desperate message asks why they have not replied. A good one gives them something useful and an easy way to answer.

Here is the difference. The names and details are made up, to show the shape.

Instead of thisSend this
"Hi?? Did you get my quote?""Hi Lerato, did the quote come through clearly? Happy to explain anything in it."
"Just checking in!""Hi Lerato, I still have 12 December open. Would you like me to hold it for you while you decide?"
"Please let me know, I need to plan.""No pressure at all. Would it help if I split the payment into a deposit now and the rest closer to the day?"
A voice note asking what happened"Should I close your file for now? If the timing changes, just message me and we will pick it up."

Every message on the right ends with a question that takes two seconds to answer. "Yes, hold it." "Yes, a deposit would help." "Not right now." All three are better than silence.

The Reply Kit's 3-Touch Revival Sequence gives you the exact day 1, day 3 and day 7 messages, plus the one message that tells you to stop.

Silence after a quote is not a no. It is a decision nobody helped them make.

How many times should I follow up before I stop?

Three times, then one last message that closes the loop. After that, stop. More than that starts to feel like chasing, and chased people block.

Give each touch a different job:

1. The next day: check it landed. Ask if the quote was clear. It is the easiest message in the world to answer.

2. A few days later: add something useful. A date you can hold, a payment option, an answer to a question people often have. Give them a new reason to reply, not the same question again.

3. About a week later: close the loop. Ask if you should close their file for now. It sounds strange, but this is often the message that gets a reply. People answer when they feel free to say no.

If they say "not now", thank them and ask if you can check in later. Then actually do it. A "not now" in October can be a booking in January.

How do I remember to follow up when I am busy?

Do not rely on memory. Use the labels in WhatsApp Business. Put a label such as "Quote sent" on the chat the moment you send a price. Once a day, open that label and follow up on anyone who has gone quiet.

It takes five minutes, between clients. The chats that would have slipped away are now in one list, waiting for you.

How do I know if my follow-up is working?

Count it. Judge any change on three numbers from your own inbox, not on how it feels.

NumberHow to count it
Reply timeHow long before your first answer, on average
Quiet chats reopenedQuotes that went silent and got a reply after a follow-up
Close rateBookings divided by everyone you sent a quote to

Start this week. Count how many quotes you sent and how many went quiet. Follow up on every quiet one with the three touches. Then count how many came back. That number is yours, and it will tell you more than any article.

Questions owners ask

Is it rude to follow up if a client has not replied to my quote?

No. Most clients expect it, and many are glad of the reminder. It only feels rude when the message is about you, like "why have you not replied?". Keep it short, helpful and easy to answer.

What if they read my message and still do not reply?

Wait a few days and send a different message, with something new: a date you can hold or a payment option. If three follow-ups get nothing, send one message asking if you should close their file, then stop.

Should I offer a discount to get them to reply?

Not as your first move. A discount teaches clients that silence gets them a lower price. Offer a deposit or a smaller package first, so they can say yes without you cutting your price.

Can I follow up on old chats from months ago?

Yes, once, with a reason. For example: "Hi Thabo, I am opening my December bookings this week. Are you still thinking about that shoot?" If they do not reply, leave it there.
